Common line items
- ·Hourly / daily advisory fee
- ·Monthly retainer
- ·Fixed-price deliverables
- ·Workshops or facilitation
- ·Travel and disbursements
- ·Withholding tax (if deducted)
Tips for consultants
- ·Retainers should state what they cover and the period (e.g. 'June: up to 8 advisory hours'), so scope and renewal are unambiguous.
- ·Disbursements (travel, third-party costs) you pass on belong on their own lines, separate from your fee.
- ·If a client deducts withholding tax on your consulting fees, show it as a deduction and keep the buyer's details for $1,000+ invoices.
Consultant invoicing, answered.
How do I invoice a monthly retainer in NZ?
State the retainer period and what it covers on a single line (e.g. 'June retainer: up to 8 advisory hours'), add any out-of-scope work as separate lines, then GST at 15% if registered. Clear scope wording prevents end-of-month disputes.
Are travel and expenses billable on a consulting invoice?
Yes, if your engagement allows it. List disbursements separately from your advisory fee. They're billable income to you and deductible costs. Keep the receipts either way.
Do consultants charge GST in New Zealand?
Once your turnover passes $60,000 in any 12-month period, GST registration is mandatory and you add 15%. Below that it's optional. Withholding tax, if your client deducts it, is separate from GST.
