Log business trips and track mileage

Use the Trips logbook to record IRD-compliant vehicle trips and calculate your business kilometres.

Why keep a logbook?

IRD requires a vehicle logbook if you're claiming vehicle expenses. You must record every business trip: date, from/to, distance, and purpose. PayWren's Trips page keeps this log digitally and tallies your business kilometres automatically.

Tip: You only need to claim vehicle expenses if you use your personal vehicle for business. If you have a dedicated business vehicle, different rules apply. Check with your accountant.

Log a trip

Go to Trips โ†’ Logbook and fill in the form:

- Date: when the trip happened - From / To: locations (e.g. "Home" and "Auckland CBD client site") - Distance (km): tap ๐Ÿ“ GPS to auto-calculate from your current location, or enter manually - Classification: Business or Personal - Purpose: brief description (e.g. "client meeting", "site inspection")

Important: IRD can audit logbooks going back 7 years. Make sure the purpose field clearly identifies the business reason.

Use templates for repeat routes

Go to Trips โ†’ Templates to create saved routes for journeys you make regularly (e.g. home โ†’ office, or home โ†’ regular client). When logging a trip, select the template from the dropdown and the from/to, distance, and purpose pre-fill automatically.

Track your business kilometres

The Business km total at the top of the Logbook tab accumulates all trips classified as Business. Take this figure to your accountant at year end. They'll use it to calculate your vehicle expense deduction using either the kilometre rate method or actual costs method.
